Japanese Speaking GROUPS COORDINATOR needed for busy education company to start March 2013

We are looking for a quick thinking, organized individual to join our team in our fast paced office in North Vancouver. This person will be responsible for overseeing the implementation of custom built international school group programs across British Columbia and Alberta.

There will be a focus on the Japanese market and Japanese agent. Some travel will be necessary to visit program sites and groups and a driver's license is required (own car is not necessary).

The ideal candidate would have excellent computer skills and a full understanding of Excel, along with excellent written English and Japanese (fully bilingual).

JOB DUTIES:
To work with international agents in the development of Canadian based programs for international students from Japan, Korea, China, Europe and South America. You will work on the quotation process, and follow through to overseeing the preparation and operation of the confirmed program. This process involves elements within the office and travel to various locations in BC and Alberta.

Major Duties and Responsibilities:
I. Quotations

  • Responsible for various markets with a focus on Japan
  • Receive and respond to quotation requests
  • Develop programs specific to requests
  • Generate pricing that is consistent and competitive, in conjunction with suppliers
  • Continue to liaise with agent on adjustments to initial quotation
  • Continually follow-up on status of quotes
II. Group Co-ordination
  • Preparation of programs upon confirmation
  • Planning, booking, and confirming all major tasks assigned to you as the Group Coordinator of a specific program which could include booking attractions, transportation, sightseeing, etc.
  • Liaise with inbound operator to finalize itinerary
  • Hire and train program coordinator and on the ground staff for groups if needed
  • Liaise with all program parties to ensure all goals are met for program arrangements beginning to end
  • Maintain presence in the community during group arrival, duration of stay and departure
  • Flexibility in work hours/extended hours necessary
  • Mediate any problems that may occur
  • Monitor the progress of the program and file any necessary incident reports
  • Follow up with inbound operator, Homestay and program coordinators and host families proceeding program departure
  • Manage all payment coordination
III. Accounting
  • Liaise with Accounting on accounts payable and accounts receivable pertaining to each group
IV. Sales Support
  • Liaise with agents and help them learn and understand MLI's programs
  • Provide language support to the sales teams on calls and during meetings.
  • Designated duties as assigned for marketing or sales purposes
  • Assistance in designing or attending specialized familiarization tours profiling new towns or products for new or current clients

Starting Salary is based on experience. A range of 33,000 - 40,000K plus benefits
