Job Title : Export Documentation Clerk (Japanese Speaking)

Employer: A Japanese trading company
Starting Date: ASAP
Work Hours: 9:00 - 5:00
Compensations: Starting $39,600/year plus benefits (BC Medical, Group Insurance, and RRSP)

Main Job duties:
- Preparing export documentation for lumber products
- Data management using Microsoft Excel, Access and other computer systems
- Coordinate shipping and manage orders
- Maintain good communication with Japanese clients and Canadian suppliers
- General administrative and office duties as required
- Coordinating the shipping products to the requested destination

Minimum Requirements:
- Must be fluent Japanese and English in both spoken and written (business level)
- Must have at least 3-year office work experience in Japan (Export Documentation work preferred but not necessary)
- Strong and accurate data entry skills
- Computer literate and proficient in MS-Office (Word, Excel and Outlook).
- Detail oriented with exceptional organizational skills
- A motivated team player with strong time management skills
- Strong proficiency in MS office (Word, Excel, Outlook and Access) especially in Excel.
- A team player who possess excellent communication and interpersonal skills
- Willing to learn quickly, self-motivated
- Translation experience (English to Japanese) an asset
- Canadian Citizen or PR

Responsibilities/Duties – Branch Associate
-Serve as a first point of contact for clients and visitors to the office, greeting and screening in a professional and helpful manner.
-Field incoming calls, redirecting where appropriate.
-Ensure front office is kept in proper order and presentable for clients and guests.
-Manage and arrange all required coffee and catering for meetings as required.
-Manage bookings for meeting spaces.
-Coordinate and prepare for meetings and business travel arrangements, as required.
-Manage active calendars for two managers while providing support with background information and documents in preparation for scheduled appointments, meetings, and speaking engagements.
-Day-to-day administrative duties.
-Organizing conference/events as assigned

Responsibilities/Duties – Japan Marketing Assistant
-Assist Managing Director, Private Wealth with account opening procedures for Japanese individual and corporate accounts
-Translate and prepare client correspondence as required
-Assist Managing Director, Investment Banking with conference and seminar organization and preparation as required
-Assist with basic research in Japanese
-Assist with client outreach in Japan including with corporations, institutional investors and industry organizations

Requirements
-2 - 5 years’ administrative experience in an office environment preferably within the financial/wealth management sector; direct experience in Japan strongly favorable
-University Degree or College Diploma in Business Administration or an equivalent combination of education and experience.
-Superior oral and written communication, interpersonal, analytical, decision-making and organizational skills. Proven ability to draft clear and concise correspondence.
-Excellent communication skills (listening/speaking/writing) in Japanese (Native Japanese speaker would be preferable)
-High proficiency with Microsoft Office, scheduling and e-mail(Word/Excel/Outlook/PowerPoint)
-Determined and hardworking with high personal and professional standards.
-Good time management and interpersonal skills
-The ability to work independently with demonstrated initiative, accuracy and meticulous attention to detail.
-Quick learner and self-starter under minimal supervision
-Outgoing and enthusiastic personality
-Open to learning taking on other tasks and responsibilities as needed
-Must be legally entitled to work in Canada
-Demonstrated judgment, tact, discretion and ability to handle complex matters of a sensitive and confidential nature
-IR license in good standing considered an asset.

Working Conditions
-3 months initial contract: May extend for 3-9 additional months
-Start Date: As soon as possible
